Where do we stand on things with the Ball? jade_cat_pagan, are you still chairing the planning committee? What is the status of the plans so far?

I'd like to have a committee meeting with TRPI members if possible to discuss what has been done so far and plan final details, as we're getting close to the event. Any thoughts?

Meeting
We're getting down to the same amount of time that we had last year for putting the Ball together and from where I stand there really hasn't been much interest so far in getting this thing running.
I'm going to try again to have a meeting.
This is everyone's chance to chime in on when is good for them.
If anyone can get the news out to the TRPI members who didn't join this community I'd appreciate it very much.

I contacted the City Paper today and spoke with Lani Redinger (a very helpful lady) after explaining that I'd like to run an advert now that says we're looking for vendors, bands and volunteers she explained the basics and promised to send me an e-mail detailing what she felt were the best options for us. We also talked about the advert I wanted to run in October and she suggested that we run two, the first two weeks before the Witches Ball and the second would come out the same week.
I received this letter in our email within the hour (yes I'm impressed, she obviously made us her priority)

 

Hello Andriel,

I have attached our rate card so you can see how I have discounted the
rates for you.  Traditionally we offer non-profits our 26 x rate no
matter how many times they decide to run.  I believe if you choose to
run more than one ad, I can offer you the 52 x rate.  For a 1/6 Listing
( my recommendation) that would be $475.  I will offer it to you for
$300 each ad.  It will be running in our Happenings Section under the Big
List, which is one of the most read sections of our paper.  The
dimensions for a 1/6 Listing are 3.125" x 5.625" ( w x h).

We can build your ad for you free of charge.  To avoid mistakes I prefer to receive
the information for the ad ( ad copy) by the Monday the week /*before*/
the issue you will run.  If you plan on running the first ad on May
31st, I would recommend sending me your ad copy by  Monday the 22nd. 
This way our production staff will have time to build it and you will
have time to edit for mistakes and approve the style.  If you have
any questions about our readership, demographics, or circulation, I
would be more than happy to send that information to you or meet in
person, but since you contacted us I'm sure you understand all that the
City Paper has to offer an organization like yours.  I hope this
information is helpful, I really have reduced the rates a little more
than I should, but it's important to me that non-profits have the
chance to advertise.

I spoke with Construction Junction today. They no longer directly handle renting out the space upstairs, they've hired a company to manage the space. I gave them my number to give to the company and hope to hear from them shortly.
I need to know how much we paid last year so I have an idea how much we should be paying this year.

The company I work for makes interesting goods out of recycled materials. I'm thinking of designing an image that would fit on their CD holder and having them make fifty for us.
As of today I'll be accepting designs that anyone would like to submit.
The only guidelines for the image are:

1. Size - 6 in x 12 in (152.40 mm x 304.80 mm)
2. Must have the words "Witches Ball" and the date (October 21, 2006)
3. May have the word "Pittsburgh" or the short "PGH"

These will be printed on metal plates and will be cut in the center for the fold. Please keep this in mind when making your design.

If there is an interest in it; as a thank you to the person who's design is chosen I will personally buy you a CD holder, photo holder, or a purse with your design on it.

I'll be buying these CD holders at my employee rate (50% of their wholesale price). If we sell them at $10 we'd make a profit of $250.50. Little Earth sells them for more than that to stores, and stores of course jack that price up, so this a wonderful deal for anyone who buys one.
If they go over well, we can also have order forms for people who would have liked one but we'd run out, then we can have more made and send them out.
The owner said that if we make the design up, he'll donate a purse called a fender (again check the site) to us because we are a not-for-profit.

Just a quick update and request

Jessica has been networking with local bands (she took over that aspect for me) and has one band that has promised to play at the ball, Didi Mau, Vequinox is also willing to play again as per our last conversation.

Jessica has an interesting taste in music so I'll be trying to go out and listen to them myself soon.

 

We would like to get everyone together for a meeting as soon as possible. It's getting later in the year and I'd really like to have everyone brain storming en mass. I'd also like to work out volunteers for different areas of this project and assign jobs based on people’s interests/abilities.

I'd prefer it to be before the end of the month so all of you lovely dears who are willing to get your hands dirty, please respond with times and days that are good for you so we can work this out.

If it will make it easier for parents and people who have difficulty with transportation, we can do this at my house. Children will be welcome (they can play in Christopher's room with his toys, or on the game cube) and anyone who needs to, can sleep over.

Specifications for Display and Classified Advertising

Advertiser's Responsibility: By submitting an ad of any kind to us for our paper, you assume the responsibility to respond to every inquiry generated by your ad in a prompt and honorable manner. In addition, you assume total liability for the contents of your ad. If you are advertising a newsletter, book, recording, catalog, or other publication, you must furnish Circle with sample copies before we can run your ad. Stores should send general literature about themselves as well as any catalogues. Anyone advertising consulting services (e.g. Tarot Readings, Astrological Charts, Counseling) must provide a resume and 3 references. Anyone advertising direct or at-distance training should provide descriptions of curriculum and instructional methods (e.g., policy manuals, representative lessons, cost schedules, etc.) as well as the names and addresses/phone numbers for 3 students who have completed the course of instruction. If we ask for other kinds of samples and/or for other information, it is your responsibility to answer promptly to help keep possible publication of your ad from delay. If you want your samples returned, you must specify this and include a self-addressed envelope with ample postage for return. Ads in the "Spiritual Friendship Services" section are meant to facilitate connecting with others of similar spiritual interests. We will accept ads seeking companionship and life partners, but will not accept the kinds of sexually explicit ads found in some publications. Please note that we scrutinize very closely advertising for "psychic readings" and similar services, as well as Spiritual Friendship Services ads.

Publisher's Prerogative: We reserve the right to refuse any ad we deem not appropriate for our magazine. We also reserve the right o request samples and additional information before we run an ad. In addition, we reserve the right to inform our readers when an advertiser fails to carry out the responsibilities outlined above. We reserve the right to void all existing ad arrangements with any advertiser who proves to be irresponsible or, due to other circumstances, can no longer provide what is advertised. Magical Marketplace is reserved for the advertising of goods related to Paganism and Magic. Services should be advertised in the "Goods & Services" section of the classified ads. All display ads will be grouped together in the Magical Marketplace section. Advertising policies and rates are subject to change without advance notice.

    Ads must fit one of the following sizes. If either dimension exceeds the maximum size for the ad category, the ad will be returned for revision, or reduced in size if workable.

    Publications Groups & Events
    Indicate how many consecutive issues you want your ad to run in and include payment in full for insertions in all issues prior to publication in the first issue. If you plan to run the same classified ad for a year, you can choose to go on a classified ad contract with us for three consecutive issues. Payment for three issues results in your ad appearing in the fourth issue free. Tear sheets are provided for classified ads, but complimentary copies are not.

    Classified Ad Rates: 
    Other Sections: $1 per word with first two words set in bold at no extra charge. $.25 extra per additional word to be set in bold. Be sure to figure cost of name and address as well as description in determining total payment for the ad. Post Office box and number count as two words. City, state, and zip code count as two words. Email address counts as two words. URL address counts as four words. 

    What would we like to have in our advert? Do we want a partial page type or do we just want to place a classified type?

    I also want to start placing adverts in the Pittsburgh City paper. I want to put the same type as last year, but I'd like to have a half page one as well, one right about now, and one in the begining of October. I'm looking into it but I don't have rates as of yet.

    By the way, I totally ganked that from a woman I know in another town who's planning her WB so kudos to her for it.

    I also looked at the TRPI e-mail account I set up, to report:
    Last year we had wires crossed on who was going to look at the e-mails and respond. Through October and November we had a handfull of e-mails from vendors, bands, and people willing to help us advertise as well as people saying they found out about the WB too late and would like to know about any other events TRPI will be doing in the future IE 'is there a mailing list so I can be notified?' type of questions.
    This year since I'm handling the WB I'll take care of the e-mails, I've already responded to everyone who wrote us and said sorry ect. I did a basic form letter and modified it for each individual:

     I'm very sorry that we didn't get in touch with you sooner, there were some wires crossed on who was in charge of e-mail.
    Thank you very much for your offer to ________ for last years WB, as I said, I'm sorry that no one was reading the mail at this address for us to respond to you.
    We are starting to plan for this years WB and ________ if you're still interested. If you'd like any information please let me know, my name is Richelle and I'll be happy to answer any questions you may have.
